Job Description
The Customer Service and Dispatch Specialist is responsible for maintaining a full dispatch board to ensure technicians have a steady workflow throughout the day. This role involves proactive customer outreach to schedule routine maintenance and service appointments, answering inbound customer inquiries, and efficiently coordinating schedules using ServiceTitan. The ideal candidate excels in customer service, multitasking, and organization while ensuring a seamless flow of operations. Schedule:

  • Fill the Dispatch Board: Proactively outbound to customers to schedule maintenance and service calls, ensuring technicians have a steady workflow throughout the day. This requires:
  • Contacting Customers: Call customers due for annual maintenance or service reminders.
  • Upselling: Inform customers of additional services or upgrades they may need.
  • Real-Time Scheduling: Monitor technician availability and book appointments accordingly.
  • Outbound calling to remind customers of scheduled or overdue maintenance.
  • Managing the dispatch board to optimize technician schedules and reduce downtime.
  • Providing exceptional customer service via phone, email, and chat.
  • Updating and maintaining customer records and service history.
  • Assisting with administrative tasks such as warranty paperwork, vendor bill entry, and parts tracking.
  1. Customer Outreach:
    • Maintain a consistent flow of outbound calls to schedule services.
    • Reconnect with past-due or upcoming maintenance customers.
    • Address customer hesitations and convert conversations into scheduled appointments.
  2. Efficient Dispatching:
    • Use ServiceTitan or other software to optimize scheduling and minimize downtime for technicians.
    • Quickly adjust schedules as needed to accommodate emergencies or cancellations.
  3. Tracking and Follow-Up:
    • Keep detailed records of customer interactions, calls made, and appointments booked.
    • Regularly review and update the customer database to ensure accuracy.
  • Proactive Communication: Confidently initiate conversations with customers to drive engagement.
  • Time Management: Prioritize calls and appointments based on technician availability and urgency.
  • Persuasion & Relationship Building: Build rapport to encourage customers to schedule services.
  • Attention to Detail: Keep track of schedule changes, cancellations, and available slots in real-time.
  • Coordinate and schedule HVAC maintenance, service calls and installations efficiently.
  • Utilize logistics and dispatching skills to manage technician assignments and routes.
  • Communicate effectively with clients via phone to address inquiries and provide updates.
  • Analyze data to optimize scheduling and improve service delivery.
  • Maintain accurate records of service requests and technician performance.
  • Able to work a standard 40 hour work week with availability to be on call.

Job Description

We are an A+ rated HVAC company based in the west side of Phoenix. We currently have over 20 years of experience in high quality installations with a variety of different type projects including Residential and Commercial change outs, New construction, Tenant improvement, Custom and Standard duct systems, Mini split replacement and new installations.

Job Type: Full-time

  • Competitive flat rate pay.
  • A qualified candidate will posses a high level of proven skills and experience in all aspects of the installation department.
  • Including but not limited to retrofit change outs, new construction, mini splits, layout and proper installation of a variety of different equipment manufacturers and applications.
  • Type 2 Refrigeration Certification required, Universal Cert is a plus.
  • Understanding of Refrigerant circuits, proper evacuation, piping, brazing and start up procedures is a must.
  • A general understanding of high voltage electricity and low voltage controls as needed to complete installations is required.
  • Experience with multi stage, variable speed and communicating systems necessary.
  • A qualified candidate will have experience with proper installation of all materials common to the industry.
  • Must posses all necessary trade tools to complete installation of a variety of HVAC equipment.
  • Experience and proven success as a leader, capable of safely completing all aspects of a job including measurements, organization of material and man power as well as any and all other responsibilities involved or needed in the proper completion of the project from start to finish.

2-3 years experience preferred. The position will be responsible for the accurate and efficient completion of installations assigned to the crew. This position will work directly under the Installation and Operation Managers supervision however a highly motivated self starter mentality is necessary to thrive and grow in this position and within the company. Candidates will be expected to lead in the field by example, capable of training and developing the desired growth of the department during the installation process with multi tasking skills needed to teach current and future apprentice level coworkers. Candidates will be expected to take responsibility for and be accountable for the success and efficiency of all installations.
